How To Integrate Zoom with Outreach?

To integrate Zoom with Outreach, here are the key steps and points to follow:

Pre-approval of the Zoom App (Admins Only):

If your organization requires app pre-approval, the Zoom admin must approve the "Outreach Meetings" app in the Zoom Marketplace.

Without this approval, users will not be able to connect their Zoom accounts to Outreach.

Enable Zoom Integration in Outreach (Admins Only):

  • Sign in to Outreach as an admin.
  • Go to Administration > Meetings under Communication Tools.
  • Enable Zoom as the video conferencing method and click Save.
  • Inform your users that Zoom is now available for use in Outreach.

Important Notes:

  • Meetings created before enabling Zoom integration will not include Zoom links.
  • Once a meeting is scheduled in Outreach, you cannot change the video conferencing method (such as adding Zoom later). If needed, adjust the settings directly in your calendar app.
  • After connecting Zoom, it will be set as your default video conferencing tool. If you don’t want Zoom as default, you can change this in Personal Settings > Calendar Setup.

Key Benefits of Using Outreach Zoom Integration

Here's a breakdown of the advantages:

Automatic Zoom Link Generation

  • Automatic Zoom links: Every time you or I schedule a meeting in Outreach, a Zoom link is automatically generated.
  • No manual effort: You don’t have to manually add links, reducing errors and saving time.
  • Works with public calendars: Zoom links are added when someone books through your public calendar or when we send available time slots.

Integration with Gmail and Outlook

  • Seamless scheduling: Whether using Gmail or Outlook, you or I can send availability with Zoom links automatically attached.
  • One platform convenience: No switching between apps – Outreach handles Zoom links directly in Gmail and Outlook for easy scheduling.

Troubleshooting Common Issues with Outreach Zoom Integration

Integrating Zoom with Outreach can save time by automatically adding Zoom links to meetings.

But like any integration, it may sometimes run into problems.

Let’s go over two common issues you might face: missing Zoom links in your meetings and reconnecting or disconnecting Zoom from Outreach.

Missing Zoom Links

If your meetings in Outreach are missing Zoom links, here are common reasons and solutions:

  • Zoom Account Not Linked Before Meeting Creation:

Meetings scheduled before linking your Zoom account won’t include Zoom links.

Solution

Ensure Zoom is connected in Personal Settings > Calendar > Video Conferencing. Add the Zoom link manually for existing meetings via your calendar.

  • Outreach Admin Hasn’t Enabled Zoom Integration:

Zoom links won’t be attached if the admin hasn’t fully enabled the integration.

Solution: Admins need to activate Zoom under Administration > Meetings in Outreach settings.

  • Using Static Conference Variables:

If your meeting type contains static variables like {{sender.conference_url}}, it may interfere with Zoom links.

Solution: Make sure to use a meeting type that allows dynamic Zoom links without static variables.

Reconnecting or Disconnecting Zoom from Outreach.io

If you’re having trouble with Zoom integration, reconnecting or disconnecting it can help:

  • Reconnect Zoom:
    • Go to Personal Settings > Calendar Setup > Video Conferencing.
    • Click the three dots next to Zoom and select Reconnect.
    • This will refresh the connection, fixing most Zoom link issues.
  • Disconnect Zoom:
    • Follow the same steps, but choose Disconnect.
    • This will stop Outreach from attaching Zoom links to your meetings, and you can reconnect later if needed.

These steps should help you resolve common Zoom integration issues in Outreach, keeping your meetings organized and efficient.

However, if you're consistently facing issues with email deliverability, such as important meeting invites landing in spam, it may be a sign that your outreach strategy needs more than just fixing Zoom integration.
